ACDS Service Improvements & Enhancements (26.2)

Features

  • Expanded Metadata Support for Document Operations
    • Upload, list, and delete operations now include critical metadata fields such as record Alt ID, 4-part record type, document group/category, document name, created date, and uploaded by. This ensures proper indexing, compliance, and visibility across all document types.
  • Regulatory Compliance Support
    • Added "uploaded by" field to document metadata, supporting DOJ/ADA compliance by distinguishing public user uploads from internal staff. This enables agencies to meet regulatory requirements for document storage and display.
  • Self-Healing and Accurate Metadata Synchronization
    • When syncing documents from external EDMS, ACDS now updates local records with richer metadata from the adapter, ensuring that group, category, document name, and upload date are always accurate and never blanked out by null values.
  • Improved Delete Operations
    • Delete requests now correctly populate the required entityID parameter, ensuring reliable and auditable document removal in line with customer expectations and API specifications.
  • Performance and Usability Enhancements
    • Reduced unnecessary API calls after document uploads, especially for records with many inspections, improving performance and reducing load on customer repositories.
  • Adapter and Integration Improvements
    • The ACDS adapter now passes all required metadata fields for uploads and lists, reducing the need for additional Construct API calls and manual data augmentation.

Bugs & Stability Fixes

  • Consistent Metadata Handling: Fixed issues where document group, category, and name were not being populated, ensuring documents are visible and properly classified in both ACA and back-office.
  • Accurate Upload Dates: The original creation date from external EDMS is now preserved, rather than defaulting to the current sync date.
  • Reliable Multi-Document Downloads: Addressed issues with duplicate or missing files when downloading multiple documents, especially in environments using external EDMS.
